Details on running a live meeting

Start a Meeting

  1. Click Meetings from the menu on the left-hand side.
  2. Click Go to meeting.
  3. This is the meeting launch screen.
  4. The leader of the meeting will click Run meeting as leader.
  5. All other meeting attendees will have their screen and meeting agenda move with the leaders as long as they are on the meeting launch screen when the leader begins the meeting.

Or

  1. Click Team Workspaces from the menu on the left-hand side.
  2. Click Open workspaces.
  3. Click the yellow Go to meeting button at the top right.
  4. This is the meeting launch screen.
  5. The leader of the meeting will click Run meeting as leader.
  6. All other meeting attendees will have their screen and meeting agenda move with the leaders as long as they are on the meeting launch screen when the leader begins the meeting.


Navigate through the meeting agenda by using the next button under the timer on the left side, or by using the large agenda buttons at the top.

The Organizational Chart can also be accessed during a meeting using the button under the timer.

To-dos, issues, and people headlines can be created at any time using the yellow menu on the right-hand side of the meeting.

Key Metrics

Click into each metric cell to input data.

By clicking the title of each metric, a pop-up window will display metric options.

Reverse the order of key metrics dates by using the arrows button at the top right of the Key metrics.

Change the key metrics zoom by using the minus and plus buttons at the top right of the Key metrics.

Reorder the metrics vertically by clicking and dragging the six dots to the left of a metric.


Numerical Average and Cumulative

These two built-in formulas need to be turned on manually for each metric. 

  1. Click the title of a metric.
  2. Click Show advanced fields near the bottom.
  3. Check the box(es).
  4. Choose a start date to begin the calculation.
  5. Click the yellow update button at the bottom left.
  6. Click the three vertical dots at the top right of the Key metrics to toggle on/off the formula calculations, along with other information.


If a cell from the previous week requires additional discussion, create a Context-Aware To-Do™ or Context-Aware Issue™ using the clipboard and triangle button to the right of the goa and under the word ACTIONS. This will drop the cell's information down to the To-Do or Issues list section to review later.


Clicking the title of a metric will display the metric options:

Goal Type

Number - Cell coloring will be based on numerical input. For example, if the goal is set to '>100', any cell which has a number over 100 would be colored green, and any cell which has a number equal or under 100 would be left gray.

Text - Cell coloring will be based on whether or not the text goal is input or not. The 'goal direction' can only be Equal = for this option. For example, if the goal is set to Yes, any cell which has Yes in it (or any variation, such as yes, YES, etc) would be colored green, and any cell which has any other text input other than 'Yes' would be left gray. 

Numerical Goal Description (optional) - Will display text next to the numerical goal on the left side of the metric.

Assign to meeting(s) - metrics can be assigned to more than one meeting at a time and changes update in all the meetings.

Quarterly Goals

Update Quarterly goal status by clicking 'OFF TRACK', 'ON TRACK', or 'DONE'.

Create a Context-Aware To-Do™ or Context-Aware Issue™ using the clipboard and triangle buttons under the word ACTIONS on the right-hand side of the Quarterly goal. This will create an issue or to-do for later review in those respective agenda sections.

Click the title to edit the title and to view the notes and Quarterly goal options.

Quarterly goal visibility

  • Team Meeting - Quarterly goal is able to be attached to a meeting.
  • Personal - Quarterly goal is not able to be attached to a meeting.


Assign to team meeting(s) - Quarterly goals can be assigned to more than one meeting at a time and changes update in all the meetings in real-time.

Milestones are smaller goals that help accomplish the larger quarterly goal.


People Headlines

Use the yellow create menu on the right-hand to create people headlines.

Create a Context-Aware To-Do™ or Context-Aware Issue™ using the clipboard and triangle buttons under the word ACTIONS on the right-hand side of a people headline. This will create an issue or to-do for later review in those respective agenda sections.

Delete a People Headline - Click the three vertical dots on the far right of a people headline and click delete.

Click the title to edit the title and to view the notes and people headline options.

Shared with team meeting(s) - People headlines can be shared to other meetings by adding meeting names to the Shared with team meeting(s) dropdown menu.

To-Dos

Use the yellow create menu on the right-hand to create a to-do.

Mark to-dos complete by checking the box to the left of the to-do name. Completed (checkmarked) to-dos will be archived at the conclusion of a meeting.

Create a Context-Aware Issue™ using the triangle button under the word ACTIONS on the right-hand side of a to-do. This will create an issue for later review in that respective agenda section.

Click the title of the To-Do to view the notes and to-do settings. 

Change the meeting a to-do is assigned to by using the Assign to team meeting drop-down menu.

Change the owner of a to-do by using the Reassign To-Do drop-down menu.

Issues List

Use the yellow create menu on the right-hand to create issues.

Prioritize issues by clicking the yellow 1-2-3 circle to the left of each issue. Once an issue is prioritized, it will turn color from yellow to pink. Up to three issues can be prioritized at a time. Once they have all been resolved, choose three more issues using the 1-2-3 prioritization.

Create a Context-Aware To-Do™ using the clipboard button under the word ACTIONS on the right-hand side of a issue. This will create to-do out of the issue.

 

Click the title of the Issue to view the notes and issue options. 

Checking an issue solved vs. archiving an issue

Mark an issue solved by checking the box to the left of the title or clicking the title of an issue and click the yellow Resolve button at the bottom right. These issues will affect meeting stats and be marked as solved in the meeting archive.

Archive an issue by clicking the three vertical dots on the far right of an issue and click Archive issue. An archived issue will not count towards meeting stats and will have a status of archived in the meeting archive.


Combine Issues - Use the Combine Issue button to merge Issues from the same meeting into one issue. The combined issue will include one owner, combined titles, and notes from both issues.

Click the three vertical dots on the far right of an issue and click Combine Issues.

or

Click the title of an issue and click Combine Issue.

Conclude

Use the Cascade a message buttons to create any last-minute people headlines, to-dos, or issues.

Every attendee can rate the meeting.

The options for who receives the post-meeting email summary are None, All attendees, and All attendees rated (attendees who rated the meeting). Users can opt-out of receiving an email summary through their profile settings.

Archive completed To-Dos and Archive People Headlines - Toggling these buttons to the right will remove any completed (checkmarked to-dos) and people headlines.

 

Leave meeting

Will exit you from the meeting without concluding. The meeting timer continues to run.
